How to Manage your Subscription and Installment Plans

The Plans tab in your admin dashboard gives you a complete overview of all active subscriptions and installment plans across your school. In the plans page, you can monitor, review, and manage user payment plans directly from LearnWorlds; no need to log into Stripe.


In this article, we will learn how to navigate the Plans tab, filter and understand subscription and installment plan details, view and manage individual plan information, and perform actions on subscriptions or installment plans.


Accessing the Plans Tab

To begin managing your subscriptions and installment plans, navigate to E-commercePayments PlansThis section is the central hub for managing all recurring plans for your school’s users. It displays a complete list of all subscriptions and installment plans, along with their status and details.


For each plan, you can see the: 


  • Plan status. See more below.
  • Product name
  • Type of plan (Subscription or Installment)
  • Customer name
  • Description
  • Start date
  • Next payment date


You can use a variety of filters to quickly locate specific plans. These filters help streamline navigation and improve efficiency when managing billing data. They include the:


  • User’s name to find plans associated with a particular customer
  • Type of product (choosing between Subscription or Installment Plan)
  • Plan’s status (such as Trial, Active, Overdue, or Canceled)
  • Product name (to match a course or digital product)
  • Start date range to narrow down plans created within a specific period. 

Viewing Plan Details

Click on any plan in the table to view more details. A panel will slide in from the right, displaying comprehensive information about the selected plan, like the: 


  • Product title, plan status, and start date.
  • Username of the customer.
  • For subscriptions: the amount, billing frequency, trial days (used/available), and renewal date.
  • For installment plans, a short description of the payment terms.
  • Mini-table of the three most recent invoices.
  • Button to view the full list of invoices.
  • List of all payment transactions, both successful and failed.

Understanding Plan Statuses

Plan statuses in LearnWorlds have been simplified to give you a clearer understanding of what's happening without needing to interpret Stripe's terminology.


  • Trial means the user is in a free trial period.
  • Trial Expired shows that the trial ended without activating the plan.
  • Active means the plan is running and paid.
  • Overdue indicates a failed renewal payment; retry attempts are in progress.
  • Scheduled for Cancellation means the plan will end at the end of the current billing cycle.
  • Canceled shows that the plan has been terminated and will not resume.


Managing Plans: Available Actions

Depending on the status of the product, you can perform key admin actions by hovering over each plan:


  • Send Latest Invoice: Email the most recent invoice to the user (PDF included if available).
  • Download Latest Invoice: Download a PDF copy of the invoice.
  • Add Trial Days: Extend the trial period or delay the next billing date. Refer to this guide for detailed instructions.
  • Cancel Plan: Schedules the plan to end after the current billing cycle
  • Send a reminder. In cases where an invoice remains unpaid, you can send a reminder to the user to prompt timely settlement.
  • Keep Plan: Cancels a scheduled cancellation and keeps the plan running
  • Convert to Active: Ends a trial early and activates the plan immediately
  • Cancel Trial: Ends the trial and prevents activation of the plan


These actions help you manage billing without switching platforms or disrupting the user’s learning experience.
