How to Set up and Manage Licenses in LearnWorlds

The Licenses feature makes it easy to sell your products in bulk. Instead of learners purchasing one by one, a company, organization, or individual can buy multiple licenses at once and then distribute them to their team, clients, or group.


This feature is designed for B2B sales and is especially useful if your school serves companies, teams, or organizations that need to train several people at the same time.


Use Cases

Licenses are useful in many situations, such as:

  • A company is buying a course to train all employees at once.
  • A coach providing programs to several clients under one purchase.
  • An agency offering group training to multiple businesses.
  • A consultant scaling their services by enrolling large groups quickly.


In this article, we will learn how licenses work, their benefits, and how they make bulk product sales and enrollments easier.


Set up Licenses

To activate the Licenses feature:

  1. Go to E-commerceLicenses Setup in your admin dashboard.
  2. Toggle the Activate Licenses switch to ON.


The shopping cart must be activated for Licenses to work.


You can also choose where the Buy Licenses option will appear:

On the right side of the screen, you’ll see a preview of how this setup looks for customers.


3. Click Save when finished.


User View

When a learner visits your school, they can either purchase a product directly or choose to Buy Licenses instead.


Depending on the license settings, the Buy Licenses button will appear either below the Add to Cart button or under the Continue button if the learner is already registered for the product.


When the learner clicks Buy Licenses, in the cart, they can:


  • Adjust the quantity to select how many licenses they want to purchase.
  • Complete the checkout process for the selected number of licenses.


If the Enroll Me checkbox is selected, one license will automatically be assigned to the buyer after the purchase is complete, and they will automatically be enrolled in the product.


Alternatively, if the buyer clicks Add to Cart directly, the product will appear in their cart with the Enroll Me option enabled. If they wish to buy multiple licenses, they can increase the product quantity directly in the cart. In this case, one product will be for themselves, and the remaining quantity will be available as licenses for others.

If a course included in a license has an expiration date, the countdown will begin once the user is enrolled in both the license and the course.


After the Purchase

Once the transaction is complete, on the thank you page, buyers will see an Assign licenses button, which allows them to distribute the licenses.

Clicking the button redirects them to their account page, where a pop-up window appears. From there, they can:


  • Select which product you would like to share license of
  • Add email addresses for the users you want to invite to use the licences
  • Optionally write a personal message.
  • Click ok to distribute the license(s)

If buyers don’t want to send invitations immediately, they can return later to the account page and hit assign licenses to share their licenses anytime.


Once access is shared, each recipient will receive a notification email with instructions on how to access the product.


Notification Emails

To view or edit the email sent when a license is shared with a user:

  1. Go to Communication School Emails in your admin dashboard.
  2. Navigate to the Licenses & Gifts Emails section

There, you’ll find the email template that is automatically used and sent when a license is shared with a learner.


You can fully customize this template to match your brand voice. Don’t forget to include the variable {{invitation_link}}, which provides the license redemption link.


Manage Licenses as an Admin

After a customer completes a license purchase:


1. Go to E-commerce Licenses.

2. You’ll see a list of purchases with

  • Customer name
  • Product name
  • Quantity of licenses
  • Status (used vs. unused licenses)

3. Click the three dots menu next to a purchase to:

  • Send Invitation: Invite selected recipients by email.
  • Enroll Manually: Directly assign access to a learner.
  • Manage License: Access detailed license controls.

Inside the Manage License view, you have full control over all licenses.


  • View and Manage License Status.  In the License Details section, you can see an overview of all licenses you’ve purchased.
  • Track License Status. Each license can be in one of the following states:


  • Available – Not yet shared
  • Pending – Shared but not yet redeemed
  • Redeemed – Successfully claimed by a user
  • Cancelled – Permanently deactivated. It can no longer be used, and no further actions are permitted. This is an irreversible state.

You can use the status chips at the top of the page to filter licenses by these categories, making it easy to track and manage them.


Manage Licenses

For licenses with a Pending status, you can:

  • Resend the invitation to a specific email address.
  • Revoke the License to free it up again.

For Available licenses, you can:

  • Delete license permanently at any time

Additional Notes & Conditions

1. Commission Multipliers

The quantity of licenses or gifts multiplies both affiliate and instructor commissions.
For example, if an affiliate earns €5 per sale, they will earn €10 if the buyer purchases 2 licenses.


2. Refunds with Licenses

When a payment with licenses is refunded, a checkbox appears in the confirmation modal. This allows the admin to decide whether already-enrolled learners should be unenrolled, and all unused licenses will be automatically cancelled.


3. Subscriptions and Installments

Licenses and gifts are not supported for subscription or installment plan products.


4. Discounts

Automatic or coupon-based discounts apply to all quantities of an eligible product within a single purchase. For example, if a 10% coupon is applied, the discount is applied to every license in that purchase.


Volume-based discounts (e.g., 10% off for 10+ licenses or 20% off for 20+ licenses) are not supported at this time.
